DE Proctoring Testing Protocols

Note to Faculty: To help you choose the most effective testing environment for your course, we encourage you to explore the full range of ACC testing services and guides before committing to a DE proctoring solution.

Here is a summary of the procedures for the DE Proctoring session, from scheduling an appointment to the end-of-session protocols.

Technology

Minimum Requirements

  • Windows 10 or MacOS 14 (or higher) or Chromebook
  •  A working webcam, microphone, and speakers are required. Students must share their entire screen for the duration of the test.
  • One display screen only (multi-monitor setups are not permitted).
  • Stable internet connection
  • Ability to close all applications and browser tabs.
  • Latest version of Google Chrome and set it as the default browser. Only three tabs should be open: GMAIL, CLASS, and Blackboard. All other tabs must be closed.

Prohibited Technology

  • Virtual machines or beta operating systems
  • Mobile phones, tablets, headphones, earbuds, styluses, and watches
  • Smart or connected devices with recording or AI features (smart speakers, smart glasses)
  • Secondary or touchscreen displays (disconnect and cover if not removable)
  • Virtual Private Networks (VPNS)

Before Testing Day

  • Run a systems check on the same device and network you will use on the exam day
  • Restart your computer to free system resources
  • Make sure no one is using the network for streaming or large downloads

Initial Appointment Setup

Appointment requests can be made via the DE Proctoring Student Portal up to three weeks in advance for a date and time that best fits their schedules.

Confirmation

Upon submission, an email is sent confirming the appointment and including information such as tech specs, ID requirements, and Practice Sessions. etc. 

Practice Sessions

Practice Sessions are available to verify that computer settings are correct and everything functions properly. More importantly, it is conducted like a testing session to familiarize students with the process.

Class Link

The link to the testing session is sent the day before.

Follow-up Email

An email with reminders, contact information, and the link is also sent the day before.

Arrival & Technical Setup

Students must join the session 5–10 minutes early. Late arrivals will not be admitted.

Browser

Students must use the latest version of Google Chrome and set it as their default browser. Only three tabs should be open: GMAIL, CLASS, and Blackboard. All other tabs must be closed.

Device

Only PCs, Macs, or Chromebooks are allowed. Tablets, iPads, and mobile phones are strictly prohibited. Multiple monitors are not permitted.

Hardware

A working webcam, microphone, and speakers are required. Students must share their entire screen for the duration of the test.

Software Settings

  • Software Settings: Browser extensions, Grammarly, iConnect, and “save password” features must be disabled.

Identity & Verification

They should have their ACC email and ACCeID number ready before joining.

ID Check

The student must present a physical school or government-issued photo ID (no digital copies or screenshots).

  • Exceptions: Round Rock ISD virtual IDs, temporary renewed state ID printouts (check expiration), and passports are acceptable.

Chat Verification

Students must send a chat message to the proctor containing their ACCeID, full name, and exam name to verify two-way communication.

Testing Environment & Integrity

Students will be asked to perform a 360° room scan, including the floor, ceiling, area under their desk, and any pillows/blankets. Rooms must be quiet and free of distractions, and students must remain alone at all times. 

Prohibited Items

No cell phones, smartwatches, or other electronics are allowed. These must be moved out of reach and shown to the proctor via camera

Dress Code

No brimmed hats, hoods (except religious headgear), or sunglasses.

No Breaks

Once the exam starts, students cannot leave the room. If they leave for any reason, they must submit the exam and notify their instructor.

Proctoring Rules

  • Active Monitoring: Proctors closely monitor by enlarging video feeds and shared screens throughout the session.   
  • Recordings: The exam session is recorded for security, quality, and training purposes.
  • Students must follow all on-screen instructions and any guidance from the proctor
  • Maintain Academic Integrity: Do not cheat or permit others to take the exam on your behalf.
  • Protect Exam Content: Do not record, share, or allow others to view your screen at any time, including during technical troubleshooting.
  • Maintain Visibility: Remain within the webcam’s view unless your exam officially confirms an approved break.
  • Maintain Silence: Do not speak or read aloud unless specifically instructed to do so.
  • Prohibit Unauthorized Devices: Do not access your phone unless you have explicit permission from a proctor.

Getting Help

In-Exam Support

Use the chat feature to contact a proctor. Note that proctors cannot pause the exam, extend your time, or provide technical/network troubleshooting.

Admin Assistance

Administrative assistants are readily available to support proctors with the intake process, confirmations of exam details, technical assistance, additional observation, and guidance.

End-of-Session Procedures

Submission

When finished, students must comply with any end-of-exam instructions from faculty, show the submission page, and wait for the proctor’s confirmation via chat before exiting.

Faculty Emails

After the testing session concludes, emails reporting any irregularities are sent to the faculty. This includes students who are late or no-shows, as well as those removed from the testing session due to technical difficulties. 

Reporting Observations

If improper practices are observed, students may be interrupted, the session may end immediately, and they will be reported to the faculty. Detailed information is sent when suspicious behavior is observed, unauthorized items are used, or students raise concerns, such as missing images or questions.

Recording Reviews

Upon faculty request, session recordings will be reviewed by DE Proctoring if there is a concern or additional information is needed.
